Built and maintained a production GoHighLevel appointment automation system for American Live Insurance, covering appointment confirmations, reminders, cancellations, no-shows, rescheduling, team assignment, and sold/not-sold follow-up.

The system coordinates multiple calendars and appointment outcomes through a collection of interconnected workflows designed around the complete appointment lifecycle.

01 / CONTEXT

The situation

American Live Insurance needed a reliable way to manage appointments across personal and office calendars while keeping communication and internal CRM processes synchronized.

The project started with appointment-related automation and expanded into a broader lifecycle system covering what happens before, during, and after an appointment.

The system needed to account for different appointment types, multiple calendars, cancellations, no-shows, attended appointments, sales outcomes, ownership changes, and follow-up actions.

02 / PROBLEM

Where the work got stuck

Appointment automation becomes complicated when an organization has multiple calendars and different outcomes after each appointment.

A simple reminder workflow wasn't enough.

The system needed to distinguish between:

  • Personal-calendar appointments
  • Office-calendar appointments
  • 30-minute 1-to-1 appointments
  • Confirmed appointments
  • Cancelled appointments
  • No-shows
  • Attended but not sold
  • Attended and sold

Each state could require a different automation path.

The challenge was therefore to create a coordinated system where the correct communication and CRM action happened based on the appointment's current state.

03 / SOLUTION

What I built

I built a collection of interconnected GoHighLevel workflows around the appointment lifecycle.

The system handles appointment confirmations and reminders across different calendars, cancellation follow-ups, no-show recovery, ownership changes, and post-appointment sales outcomes.

The workflows were separated by responsibility rather than putting the entire process into one large automation.

For example:

Appointment Confirmed

→ Confirmation → Reminder → Morning reminder → Owner assignment/update

Then the appointment outcome determines the next path:

No Show

→ Follow-up

Attended + Not Sold

→ Appropriate follow-up

Attended + Sold

→ Sold/customer process

This structure made the automation easier to maintain and allowed individual parts of the appointment lifecycle to be modified without rebuilding the entire system.
